Users & Access

Last updated on October 27, 2026

Users & Access lets you give every member of your team their own access to the operation, with a level of rights matching their role, instead of sharing a single login between several people.

User accounts on the website (PRO II and III)

From Management → Users, create an account for each team member and assign them a role:

On creation, an email is sent to the new team member with a link, valid for 7 days, to set their password. If the email does not arrive, resend the invitation from the team member's record. An administrator can also set a password directly for a team member from their record, for example if they can no longer access their account.

tip

This feature is available from the PRO II plan onward — see the plan details on the Subscriptions page.

Inviting a team member from the mobile app

For a seasonal worker or a team member who only works in the field, access can also be created directly from the app: from Profile → My company, generate an invitation QR code by choosing a role (Reader, Employee or Admin). The invited person scans the code with their phone to join the operation; their request then appears in My company, waiting for approval — to accept or decline before they can access the data.

Accessing several operations with the same login

If you work on several ApiTracer operations (for example as an advisor, an accountant, or if you manage several companies yourself), simply sign in from "Log in" on apitracer.fr with your email and password:

  • If that email and password only match one operation, you are signed in directly to it.
  • If they match several operations (the same email and password used on each), you are offered a choice of which one to access.

No special setup is needed: this selection only appears if the same password has been set on each operation where you have an account.

Forgotten password

If a team member has forgotten their password, they can reset it themselves from the "Forgot password" link on the login page, with no administrator involved: they receive an email with a single-use link, valid for a limited time, to set a new password. See also Profile & Account for the full procedure.

How many people can access the data of a single operation?

Multiplying shared accounts within a small team quickly makes it impossible to know who entered what, and is a security risk if the person holding the login leaves the operation. The recommended practice is to give each person their own account, with an access level limited to what they need (for example read-only for an intern, or operational for a permanent employee). In ApiTracer, the PRO II and PRO III plans give access to an unlimited number of users, each with their own role — see also who can access my operation's data in the FAQ.
